Five Tip Friday – BlackBerry smartphone Calendar Tips

If I had a history of the most commonly-used apps on my BlackBerry® smartphone, the calendar app would have to be close to the top. Today I’d like to share five of my favorite calendar-related tips.

1. Switching Calendar Views

For those of you that like to switch between calendar views (such as day, agenda, week or month), try using this keyboard shortcut to change views instead of using the Menu and trackpad.

A note before we start – in order for shortcuts to work in day view, you’ll need to disable the Quick Entry feature using the following steps. The screenshot below shows this feature:

  1. In the calendar application, press the Menu key then select Options
  2. Select Calendar Display and Actions
  3. Clear the Enable Quick box.

After doing this, you can start using the following keys to change views in your calendar:

  • Agenda View – Press A
  • Day View – Press D
  • Week View – Press W
  • Month View – Press M

If you prefer having the Quick Entry feature instead of using these shortcuts, complete the steps provided earlier again, but check the “Enable Quick Entry” box.

2. Show Tasks and/or Alarms in the Calendar

For those that use the Tasks app and/or the Alarm Clock feature on your smartphone, you can easily view them in your calendar with a quick change of your settings. This allows you see when tasks are due, for example, as well as view and change when your Alarm is set to go off without having to open the Clock app.

To toggle either setting, complete the following steps:

  1. In the calendar application, press the Menu key select Options
  2. Select Calendar Display and Actions and complete one, of both actions below:
    • To view Tasks, check the box for “Show Tasks”
    • To view Alarms, check the box for “Show Alarms”
  3. Press the Menu key and select “Save”.

3. Color-Code Calendars

If you are using BlackBerry® Device Software 5.0 or later, you have the ability to color-code your calendars which makes it easy to identify what calendar events are contained in. I use this to separate my work and personal calendars, and couldn’t imagine my calendar without it. To set colors for your calendars, complete the steps below:

  1. In the calendar application, press the Menu key select Options
  2. Select Calendar Display and Actions
  3. Select the calendar you would like to modify and select a color from the listing
  4. Press the Menu key and select “Save”.

4. Send calendar appointments using BlackBerry® Messenger (BBM™) 6.0

A really nifty feature available in BlackBerry Messenger 6.0 is the ability to send and receive calendar appointments. All you need to do to use this feature is while in a BBM chat, press the Menu key and select “Send” followed by “Appointment”. Your BlackBerry smartphone calendar will be displayed, allowing you to select which entry you’d like to send using BBM.

After sending an appointment, the recipient can view the details and add it to their calendar by pressing the Menu key and selecting “Add To Calendar”.

5. The BlackBerry Mobile Conferencing App

Do you find yourself joining a lot of conference calls while using your smartphone? If so, I highly recommend checking out the BlackBerry® Mobile Conferencing app. Simply put, instead of having to dial phone numbers and enter codes, this app does it for you!
